Managing Your Subaccounts

A guide to managing, adding, and deleting subaccounts in your GemHub account.

For Pro plan users, sub accounts can manage media and products in one unified ecosystem.

When inviting a sub account as a Member, if they are an existing GemHub user, their gallery and products will start syncing with the admin's gallery and act as a unified database of each other’s captured media and products.

A Member sub account can create, edit or delete media, products and catalogs in the unified ecosystem however they cannot access the profile, billing information and share settings of the parent account who invited them.

Adding Subaccounts

For Pro plan users,  you may add subaccounts to your primary account. Here are the steps to add subaccounts:

  1. Login to your GemHub and click on the profile icon on the bottom left of the page.

  2. Navigate to "Members".

  3. Click "Add Subaccount"

  4. Enter the email address of the person you want to add as a subaccount and click "Send Invite".

    The invitee will receive an invitation link in their email inbox to create their own account and access your shared information.

Note: If an error prompt appears showing ‘The invitation has been deactivated,’ this likely happened because the link has already been used. In this case, request the main user to add your account again.

Deleting Subaccounts

To delete subaccounts, only the primary account holder can do so. Here are the steps:

  1. Log in to your GemHub and click on the Profile icon located at the bottom left corner of the page.

  2. Select to "Members".

  3. Find the subaccount you want to delete and click on the trash bin icon next to it.

  4. A pop-up notification will appear, asking how you want to transfer the media files and information. Choose how you would like to deal with the existing media and product data.

  5. Confirm that you want to delete the subaccount. It will then be permanently removed from your account.

  6.  For subaccounts, before deleting the account, a popup message will appear to determine how you will want the media files and information to be transferred. 202412 - KB - Subaccounts-04

Allow subaccount to retain all data:

  • This option ensures that the subaccount retains all data from both the master and subaccount even after the subaccount has been removed.

Transfer this subaccount to the master account:

  • This option transfers all data from the subaccount to the master account. After the transfer, all data in the subaccount will be erased.

Only transfer the data created by the subaccount after joining the team:

  • This option transfers only the data created by the subaccount after joining the team. These data will be erased from the subaccount after the transfer.
